REPORTS TO: Directors of The Wings Center
EMPLOYMENT CLASSIFICATION: Full-time. Non-exempt.
PURPOSE OF THE POSITION:
The Executive Administrator provides administrative support for the Founder and The Wings Center staff, handles mail and email correspondence, greets people who enter The Wings Center, answers and directs phone calls, manages calendars, schedules appointments, and manages the office.
PRIMARY DUTIES AND RESPONSIBILITIES:
- First line of communication with public (i.e. greets everyone who enters the building, answers and directs phone calls, answers and directs email inquiries).
- Provides administrative support to the Founder and The Wings Center staff as needed. Transcribes dictation, manages email and mail correspondence, and other documentation as necessary with speed and accuracy regarding grammar, format, and original intent.
- Manages the Founder’s calendar and keeps appointment book up to date.
- Helps develop and manage the overall calendar for The Wings Center. Schedules appointments, retreats, meetings, and other events as needed.
- Assists in managing therapists’ calendars (schedule or reschedule appointments as needed, confirm appointments, and other support as needed).
- Manages the waiting area and makes families and visitors feel welcome.
- Assists in coordination of hospitality for meetings, retreats, and events.
- General office management (maintains office supplies, reports needed repairs to appropriate staff or vendors, etc.).
- Assists in maintaining snacks, drinks, and general orderliness of public areas, such as kitchens, lobbies, and conference rooms.
- Helps coordinate meetings and events with strategic partners.
- Supports integration with Eagle Ranch through communication with key Eagle Ranch staff.
- Helps collect and track client payments for counseling services, retreats, and other Wings Center events.
- Track expenses, including receipts and record keeping, for The Wings Center staff and coordinate with Eagle Ranch business office.
- Maintains client confidentiality.
- Performs other duties as assigned.

REQUIREMENTS:
- Bachelor’s degree preferred.
- Prior experience in a similar role preferred.
- Excellent written (grammar and spelling) and verbal skills.
- Portrays a friendly and professional image.
- Excellent organizational skills.
- Excellent project management skills.
- Ability to multi-task and prioritize.
- Knowledge of and proficiency in Microsoft Suite, specifically Word, Excel, and PowerPoint.
- Typing ability of 60 WPM with accuracy.
- Data entry experience preferred.
